How to avoid Google Meet issues

Dear Staff,

We have received tickets from students and parents regarding issues joining Google Meet sessions. These issues occur because of the use of the same Meet link in your Google Classroom. That goes against Meet's best practices.

If you create your classroom Meet link from your Google Classroom, every session should be a brand new link. The IT Department does not have access to your Meet sessions to reset links. Please follow the guide below to reset your Meet links daily. We have also created a youtube video tutorial listed at the end of this email.

To avoid these issues, this is the best practice that we recommend for all teachers:

  • Set up a video meeting in Classroom - Most of you have already done this (Click Here for Guide and scroll down to section "Set up a video meeting in Classroom" subsection "Create a Meet link in your class")
  • Hide a Meet link for students - (Click here and scroll down to section "Set up a video meeting in Classroom" subsection "Show or hide a Meet link")
  • In class day,
  • Go to your Class in Google Classroom,
  • Join meeting (be sure that you Join the meeting by going to the meet link and click "Join now") (you must be the first one to join the meeting to eliminate any issues and see all the control features)
  • Turn on Show link to students (Click Here and scroll down to section "Set up a video meeting in Classroom" subsection "Show or hide a Meet link")
  • Students can now join with the link shown on their Classroom
  • When class is finished, kick out all participants off, be the last on the Meet session to disable the Meet link so students can't reuse the link outside class hours (organizer must be the last out of the meeting)
  • Go back to your Google Classroom class settings
  • Hide meet link from students (Click Here and scroll down to section "Set up a video meeting in Classroom" subsection "Show or hide a Meet link")
  • Reset meet link (this will create a new meet link for the next class)
  • Repeat step 2 (Hide a Meet link for students) and wait for the next session.
